The All Balances screen and the Payments Accounts section of the sidebar in Hello Clever give you full visibility and control over your funds and the accounts where you hold and accept payments. This page explains how to read your balance overview, work with the balance history, understand your balance model, manage your accounts, and move money in and out of your account.
With Clever Connect, your money is organised into Payments Accounts and Treasury Accounts, and tracked using one of two balance models: Aggregated or Dedicated. Your balance model shapes how balances appear and whether you choose an account when moving money. It is set once during onboarding and cannot be changed afterwards.

Accessing your balances

The sidebar has two All Balances entries, one under each account group:
  • Payments Accounts → All Balances opens AUD Payments Account Balances (named for the selected currency). This is the screen described below.
  • Treasury Accounts → All Balances opens AUD Treasury Account Balances, which follows the same layout with a few differences. See the Treasury Account balances screen.
Both screens note the display time zone (for example, Sydney GMT+10:00).

Balance summary

The top of the screen shows three headline figures for the selected currency, above a colour-coded bar that shows their proportions at a glance: Each figure has an information icon next to its label. Hover over it for a short explanation of what the figure includes.
A rolling reserve may be withheld from your available funds to cover potential refunds and chargebacks. The amount you can actually move out excludes this reserve. The figure available to you is shown as Available balance on the Move funds screen.
Use the Currency: AUD switcher above the summary to view balances in another currency, or See All Currencies to see everything you hold. The portal remembers the account you last viewed for each currency and reselects it automatically when you switch back. Contact Hello Clever Support to enable additional currencies.

Your balance model

How your balances appear depends on your account’s balance model, which is set during onboarding and is permanent once your account is activated.

Aggregated Balance

One shared balance per currency at the merchant level. All Payments Accounts draw from the same pool, so which account you nominate when moving funds out does not change how much is available. This is the model existing merchants already use.

Dedicated Balance

A separate balance for each account, with its own transaction history. You choose which account to settle or move funds from each time, and only that account’s balance is affected. Treasury Accounts always use this model.
For example, a merchant holding AUD 10,000 would see a single AUD 10,000 balance under the Aggregated model, or a per-account split (say, AUD 7,000 for Store A and AUD 3,000 for Store B) under the Dedicated model.
Your balance model cannot be changed after your account is activated. If you are unsure which model suits your business, confirm with Hello Clever Support before activation. As a rule of thumb: one business and one set of books suits Aggregated; multiple businesses, brands, or payment flows suit Dedicated.
Existing merchants continue on the Aggregated Balance model with no change. There is no balance migration, no historical transaction migration, and no impact on existing settlements or withdrawals.

Transactions table

Below the accounts list, the transactions table logs every transaction for the selected currency. It is titled for that currency, for example AUD Transactions. Each row includes: Most columns are sortable: select a column heading to sort by it. Use Previous and Next at the bottom of the table to move between pages.
Running Balance is the quickest way to reconcile a disputed figure: find the transaction where your records diverge from Hello Clever’s, and the running balance on that row tells you the position immediately after it.

Viewing transaction details

  • Hover over Expand Detail on any row to see a summary in a side panel (status, reference number, date, and recipient details).
  • Click Open Detail to view the full transaction record on a dedicated screen.

Filtering and customizing the transactions view

Searching: Use the Search box above the table to find a specific transaction. Filtering: Four filter dropdowns sit alongside the search box. Combine them to narrow the table: Status values mean:
If you also read this data through the Balance History API, note that the API returns waiting for what the portal displays as Processing. done and failed match. See status labels.

How the filter panels work

The filters do not all behave the same way.
Type and Status open a panel of checkboxes, so you can combine several values in one filter.

Open the filter

Select the filter to open its panel, for example Filter by: type.

Tick the values you want

All is selected by default. Tick one or more specific values to narrow the table, which clears All.

Apply

Select Apply to update the table. Your selection does not take effect until you do.
Ticking boxes alone does not filter anything. The table only updates when you select Apply. If the results look unchanged, check that you applied the panel rather than clicking away from it.
Each panel has its own Reset link, which returns just that filter to its default and leaves your other filters in place. Customizing columns: Select the Settings (gear) icon to the right of the filters to show or hide columns such as Running Balance, External ID, and Customer ID. Exporting: Click Export, enter an email address, and optionally set a date range (up to 90 days). Applying filters before exporting ensures only relevant data is included.
The same transaction data is available programmatically through the v2 Balance History API, which returns every currency on your account in one call, which is useful if you are reconciling in your own system rather than exporting by hand.
You can change the timezone for all timestamps displayed on the Balance screen. Go to Account & Security settings and select your preferred timezone.

Managing accounts

A Payments Account receives and holds the funds from your payment activity, whether for an e-commerce store, a physical retail location, or an integrated system. You can run several Payments Accounts under one merchant, one per store, brand, or payment flow. Alongside these, you may also hold Treasury Accounts for holding, receiving, and moving funds in a specific currency (see Treasury Accounts below).

All Payments Account Balances

Between the balance summary and the transactions table, the All Balances view lists every Payments Account under the selected currency, for example AUD Payments Accounts. It has these columns:
  • Account Nickname: the account’s name (select it to open the account).
  • Status: for example, Active.
  • Last Transaction Date: the most recent activity, or --- if the account has not transacted yet.
  • Integration Type: how the account is connected, shown with the platform’s logo (for example, Payment APIs, Shopify, WooCommerce, or Tyro).
Because you select your working currency from the currency switcher, the view does not repeat a per-row currency column. Use the Search box to find an account, and select any sortable column heading to reorder the list. The controls below the table show how many accounts you are viewing out of the total (for example, Viewing 1-5 of 17 results). Use Rows per page to change the page size, Go to page to jump to a specific page, or the numbered page links to step through. The left sidebar groups your accounts under two headings:
  • Payments Accounts: starts with All Balances, followed by each individual account. Select All Balances to see them together, or expand an individual account for its own menu: Account Details, Payins, Payouts, and Request Payment.
  • Treasury Accounts: also starts with its own All Balances view, followed by each Treasury Account. Expand a Treasury Account to reach its Account Details.
Treasury Accounts have a shorter menu than Payments Accounts because they hold and move funds rather than accepting payments, so there are no Payins, Payouts, or Request Payment screens beneath them. See Treasury Accounts below.

Adding an account

Add a new Payments Account with the New Payments Account button on the All Balances screen, or the Create account button in the top-right corner of the portal. The Create account screen opens with a summary of what the account will let you do (accept card and local payments, send payouts to beneficiaries, and use Clever AI insights and loyalty campaigns), followed by the form. Fill out the form below that summary: Select Create Payments Account to finish.

Name validation rules

Account names are used to create your virtual account details with the receiving bank, and banks restrict what those names can contain. The portal therefore validates and cleans the names you enter.
Enter the account holder name exactly as it is registered with the bank, within the 40-character limit. Because this name is written into your virtual account details, a mismatch can cause incoming transfers to be rejected or delayed by the sending bank.
If your business name is longer than the limit or contains special characters, the created account will carry a shortened or cleaned version. Check the final name on the account’s Account Details tab, and in the Top up dialog, so you know what your customers and your own bank will see.

Adding a Treasury Account

Create a Treasury Account with the New Treasury Account button on the Treasury All Balances screen, or from Create account. The form is shorter than the Payments Account version because a Treasury Account holds and moves funds rather than accepting customer payments, so there is no integration type or website URL: Select Create Treasury Account to finish. The screen also confirms the capabilities of the account before you create it, such as SWIFT International and payout via domestic bank transfer.
The name validation rules above apply to Treasury Accounts as well as Payments Accounts. The JPY rules apply to JPY Payments Accounts.

Viewing account details

Open an account and select Account Details to see its information and performance, including metrics such as:
  • Total sales: revenue trends over your selected period.
  • Total payments: transaction volume over time.
  • Average order value: changes in spending patterns.
  • Cashback campaigns: active campaigns and their effect on sales.
  • Recent payments: a snapshot of the latest transactions.

Comparing periods

Select a date range and enable Compared to Previous Period to see percentage changes in Total Sales, Total Payments, and other metrics side by side. A result of +192.77%, for example, means sales increased by that percentage compared to the immediately preceding period of the same length.

Moving money

The Payments Accounts → All Balances screen has a row of actions above the balance summary. (The Treasury equivalent offers a shorter set; see the Treasury Account balances screen.) A refresh icon sits at the end of the row. Select it to reload the balances and transactions without reloading the page.
Move funds replaces the former Withdraw action. If you are used to withdrawing to a bank account from this screen, use Move funds and select a saved recipient as the destination.
Behind these buttons, Clever Connect describes money movement with two terms, so it is always clear how each movement is recorded:

Settlement

Moves available funds out of a Payments Account, either to a Treasury Account or to a named external bank account. A settlement fee usually applies.

Account Transfer

Moves funds between your Hello Clever accounts, or between one of your accounts and an external recipient. Internal transfers do not charge a fee; external movements may.
The simplest way to tell them apart: if funds are leaving a Payments Account as settled payment proceeds on your configured schedule, it is a Settlement; if you are moving funds on demand, whether between your own accounts or out to a recipient you have saved, it is an Account Transfer. Cross-currency movement is only supported between Treasury Accounts, and is presented as an Account Transfer.
Fees are always shown before you confirm, and every confirmation shows the source and destination account, amount and currency, timing, any fee, the expected balance impact, and a reference ID after submission.

Settlement

A Settlement moves your available funds out of a Payments Account, either automatically or on demand. It can settle to a Treasury Account or to a named external bank account.
Request settlement is available for every currency on your account. On-demand Move funds for Payments Accounts is available for AUD and JPY.
There is no smart routing on these movements. The source and the destination must hold the same currency. You cannot settle an AUD balance into a JPY account, or move funds between accounts in different currencies. The only cross-currency movement is between two Treasury Accounts. See supported directions.
Whether you pick an account when settling depends on your balance model:
  • Aggregated Balance: the amount is deducted from your single merchant balance, and no account selection is required.
  • Dedicated Balance: you must select an account first, and the amount is deducted from that account’s balance only. Other accounts are unaffected.
If your business needs faster access to funds, Real-Time Settlement can be enabled. Contact Hello Clever Support. Additional fees apply for each real-time transfer.

Settlement Management

Use the Settlement Management page (accessible from Manage settlement on the All Balances screen) to control how and where a Payments Account settles:
  • Frequency: choose End of day (funds are automatically settled at a set time each day, in your local time zone) or On-demand (request settlement manually at any time). Click Edit next to Frequency to change this setting.
  • Beneficiary Settlement Account: the destination that settled funds are sent to. This can be one of your own Treasury Accounts, or an external bank account addressed by PayID or by BSB / Account Number with the related bank details. Click Edit to update the method and account details, or the delete icon to remove it.
The Create Settlement Request dialog shows the configured beneficiary before you confirm, so you can always see where the funds are going:
  • Settling to a Treasury Account shows the Treasury Account’s name (for example, HC Treasury 10).
  • Settling to an external account shows the Method, Account name, BSB, Account number, and Bank name.
Changes to the Beneficiary Settlement Account apply to future settlements only; in-flight settlements are unaffected.
If the beneficiary shown in the settlement dialog is not the one you want, change it in Settlement Management first, and the dialog itself links you there. You cannot override the destination for a single settlement request.

Settlement details

Click any settlement record to view its details:
  • Outgoing: amount being settled, excluding rolling reserve.
  • Fees: fees deducted from the outgoing amount.
  • Total: net amount after fees.
  • Status, date, Balance ID, reference: tracking fields.
  • Recipient: bank account details for the receiving account.
  • Transaction list: individual transactions included in the settlement.

Top up

Use Top up on the All Balances screen to add funds to an account from outside Hello Clever. A top-up is not a transfer you initiate in the portal: the dialog gives you the banking details of your own virtual account, and you then send money to those details from your bank. The Top up dialog contains:
  • Account: a dropdown to choose which account you are topping up. The account’s Available balance is shown to the right.
  • Transfer to the bank account: the virtual account details to pay into. Each value has a reveal icon, so details stay hidden until you choose to show them.
The details shown depend on the currency of the account:
Select Close when you have copied what you need.
The Account name shown here is derived from the account name you set when the account was created, after the name validation rules are applied. Use the value shown in this dialog when your bank asks for the payee name, rather than retyping your business name from memory.
Top up is available for both Payments Accounts and Treasury Accounts. Funds sent to these details arrive as a Deposit in the account’s transaction history, which is how you tell genuine external inflows apart from internal movements between your own accounts.

Move funds

Move funds sends funds from one of your accounts to a recipient, on demand. It is the action that replaces the former Withdraw button, and it covers both moving funds between your own Hello Clever accounts and paying out to an external bank account you have saved as a recipient.

Choose the source account

Select Move funds, then pick the account to draw from under Move funds from. Once selected, the screen shows that account’s Available balance in the top right.Under the Aggregated Balance model you will see a note confirming that all Payments Accounts in that currency draw from the same balance pool, so the choice of account does not change how much is available. Under the Dedicated Balance model, the available balance is specific to the account you pick.

Choose the recipient

Under Who are you moving funds to?, search the list or select New recipient to add one. The list holds two kinds of destination:
  • Your own accounts: other Payments Accounts and Treasury Accounts you hold in the same currency, shown by their account nickname. Choosing one of these makes the movement an internal transfer, which arrives instantly and charges no fee.
  • Saved external recipients: each shows its Account name, BSB, Account number, Bank name, and Email so you can confirm you have the right destination before continuing.
Only accounts in the same currency as your source account appear in the list. There is no smart routing, so a JPY account is never offered as a destination for AUD funds. To move value between currencies, transfer between two Treasury Accounts instead.

Enter the amount

On the Enter amount screen, set either You move exactly (the amount leaving your account) or Recipient gets exactly (the amount arriving). The two fields are linked, so filling in one calculates the other from the fee.The screen also confirms Total fees (included), the source account, the full recipient details, and when the funds should arrive. Add an optional Description, then select Continue.

Review and confirm

The Review Details screen restates the amount you are moving, the total fees, the source account, what the recipient will receive, their bank details, the expected arrival time, and your description. When everything is correct, select Move funds now.

How fees are applied

Fees are included in the amount you move, not added on top. They are deducted from the amount leaving your account, so the recipient receives less than that figure. For example, moving AUD 110 with AUD 2.08 in fees means AUD 110.00 leaves your account and the recipient receives AUD 107.92.
If a recipient needs to receive an exact figure (settling an invoice to the cent, for example), type it into Recipient gets exactly rather than You move exactly. The screen then works backwards and shows the larger amount that has to leave your account to cover the fee.

Arrival times

Transfers arrive within minutes for fast bank transfers, or 1–2 business days for standard bank transfers, depending on the recipient bank’s processing times. The estimate for your specific transfer is shown on both the Enter amount and Review Details screens.
Internal transfers between your own Hello Clever accounts do not charge a fee. Cross-currency movement is supported only between Treasury Accounts. Whatever the destination, the fee is always shown before you confirm.

Treasury Accounts

Treasury Accounts are a newer Clever Connect feature that give you a dedicated place to hold, receive, and move funds in a specific currency. Each Treasury Account always uses the Dedicated Balance model, so it keeps its own separate balance. Money movement only affects the account you select. Treasury Accounts are available in AUD. See supported currencies. Within a Treasury Account there are two money flows: a Deposit (moving funds in) and a Transfer (moving funds out to a recipient).

Treasury Account balances screen

Select All Balances under Treasury Accounts in the sidebar to open AUD Treasury Account Balances (named for the selected currency). The screen mirrors the Payments Accounts version, with a Currency switcher, the same Incoming / Available / Outgoing summary and its proportional bar, an accounts table, and a transactions table. The differences are below.

Available actions

Treasury Accounts have a shorter action row than Payments Accounts: A refresh icon sits at the end of the row.
There are no Request payment, Request settlement, or Manage settlement actions here. Treasury Accounts hold and move funds rather than accepting customer payments, so there are no payment proceeds to settle. Those actions belong to Payments Accounts.

Treasury Accounts table

The accounts table (for example, AUD Treasury Accounts) lists every Treasury Account in the selected currency: All four columns are sortable. Use the Search box to find an account, and Rows per page to change the page size.
Because every Treasury Account uses the Dedicated Balance model, each row carries its own Available Balance, and those balances add up to the Available figure at the top of the screen. If the header shows AUD 8,688.00 across three accounts holding 880.00, 7,808.00, and 0.00, that is the same money counted once per account and once in total.
The Treasury table has no Integration Type column. That column exists for Payments Accounts because they connect to storefronts and integrations; Treasury Accounts do not.

Treasury transactions table

Below the accounts list, the transactions table works like the Payments Accounts version, with two differences:
  • The account column is Treasury Account rather than Payments Account, and links to the account involved.
  • There are three filters (Date, Type, and Status), with no Payment method filter.
Columns are Amount (credits green, debits red), Running Balance, Status, Balance ID, External ID, Treasury Account, Customer ID, Method, and Created Date. The Search box, column Settings (gear) icon, and Export button work the same way as on the Payments Accounts screen. The Type filter reflects the money flows a Treasury Account supports: Tick the values you want and select Apply. See how the filter panels work.
Deposit and Transfer In both add funds, but they answer different questions: Deposit covers money entering your Hello Clever accounts from outside, while Transfer In covers money you moved between accounts you already hold. Filter to Deposit when you want genuine inflows rather than internal reshuffling.
Movements between your own Hello Clever accounts show helloclever in the Method column, while funds going out to an external bank account show the rail used, such as BSB / Account No. That makes it easy to separate internal treasury movements from genuine outbound payments when reconciling.

Finding your account details

Before depositing, you need the Treasury Account’s banking details. Find them on the merchant dashboard, under the account’s Account Details tab: Account name, Account number, BSB code (for AUD accounts), and Bank name.

Deposit flow

Once a Treasury Account has been created, you can confirm that incoming funds arrive correctly. Use the TestBank simulator (https://test-bank.cleverhub.co/bsb-info) with the account’s holder name, BSB, and account number. After the deposit completes, it appears in the account’s transaction history and the Incoming and Available balances update.

Transfer flow

A transfer moves funds out of a Treasury Account to a recipient. It uses the same Move funds flow described above: select the Treasury Account as the source, choose a recipient, then set either the amount you send or the amount the recipient receives. The Enter amount screen confirms the total fees included, the source account, the recipient’s details, and the expected arrival time. Add an optional reference and description, then continue to review and confirm. Once confirmed, the transfer’s status is Processing and a Balance ID (its unique identifier) is shown, and you can copy it directly from the confirmation screen. The transfer then settles, typically within a few hours on weekdays or the next working day on weekends.

Top-up, Move Funds, and Settlement are now available for Payments Accounts, and Top-up and Move Funds are available for Treasury Accounts (see Settlement and Treasury Accounts above). Request settlement covers every currency on your account. Move funds covers AUD and JPY between Payments Accounts, while movements involving a Treasury Account are AUD.
