# Creating and Managing Cashback Campaigns

> Set up instant cashback campaigns for in-store or online purchases, configure tiered rules and budgets, schedule timing, and publish to the app.

Hello Clever’s cashback campaign feature lets you reward customers with instant cashback at the moment of purchase, driving engagement and repeat sales. This page walks you through creating a campaign from scratch, configuring cashback rules and timing, publishing to the Hello Clever app, and managing campaigns over time, including how to update rules and deactivate campaigns when needed.

## Navigating to cashback campaigns

    Select **Cashback Campaigns** (available under **Growth Tools** in the sidebar). This lists all existing campaigns for the selected account.

    Select the account where you want to run the campaign.

    Click **Create Cashback Campaign** or **Create new** to open the campaign creation form.

## Setting up cashback rules

In the **Cashback Rules** section, define how customers earn cashback. You can create multiple tiers to reward higher spending.

### Rule fields

| Field                                       | Description                                                                                                 |
| ------------------------------------------- | ----------------------------------------------------------------------------------------------------------- |
| **Tier**                                    | Add separate cashback tiers for different spending levels.                                                  |
| **Type**                                    | **Percentage**: cashback as a % of the order. **Absolute Value**: a fixed cashback amount.                  |
| **Value**                                   | The cashback amount or percentage.                                                                          |
| **Applies for orders from**                 | Minimum order value to qualify for this tier. Orders below this value do not receive cashback at this tier. |
| **Max payable cashback amount**             | Cap the total cashback paid out across the whole campaign, or per transaction.                              |
| **Max cashback amount receivable per user** | Limit the total cashback any single customer can receive across the campaign.                               |

### Cashback rule examples

* **Flat rate**: 5% cashback on all orders starting from \$0.00, rewarding every purchase.
* **Tiered**: 5% cashback for orders above $50, and 10% cashback for orders above $100, incentivising larger spend.
* **Fixed amount**: $10 cashback on orders above $100.

  Use tiered cashback to increase average order value. Setting a higher reward at a higher spending threshold motivates customers to add more to their cart.

## Setting campaign name and timing

In the **General Information** section, give your campaign a name and choose when it runs.

    The campaign runs continuously with no end date. Use this as a baseline incentive to keep customers engaged at all times.

    <Tip>
      An Always On campaign can be low-percentage and simple. Layer additional time-specific campaigns on top for events or promotions.

  <Tab title="Specific Time">
    Schedule the campaign for a defined start and end date. If the start date is in the future, the campaign activates automatically at the configured time.

  <Tab title="Repeat">
    Set recurring times, such as every weekend or specific hours on weekdays. This is useful for boosting sales during slower periods.

    **Examples:**

    * 10% cashback every Saturday and Sunday.
    * 5% cashback daily between 12 PM and 2 PM to drive lunchtime sales.

## Publishing the campaign

After configuring all settings, click **Publish** to make the campaign live on your account immediately.

## Viewing and managing existing campaigns

The Cashback Campaigns list shows every campaign with the following details:

| Column                            | Description                                                    |
| --------------------------------- | -------------------------------------------------------------- |
| **Status**                        | Inactive, Scheduled, Active, or Done.                          |
| **Campaign info**                 | Campaign ID, name, cashback details, and eligibility criteria. |
| **Start/end time**                | Duration of the campaign, or “Always on”.                      |
| **Total cashback payouts/budget** | Cumulative cashback distributed to date.                       |
| **Total orders sold**             | Orders that received cashback through this campaign.           |
| **Total sales amount**            | Combined value of orders that qualified for cashback.          |

Click **More details** on any campaign to see its full configuration, including payment methods, cashback rules, maximum limits, and timing.

### Campaign statuses

* **Inactive**: created but not yet active.
* **Scheduled**: set to start at a future date.
* **Active**: currently live and awarding cashback.
* **Done**: ended because the time period or budget limit was reached.

## Updating cashback rules

Hello Clever does not allow direct edits to cashback rules on an active or completed campaign. This prevents inconsistencies in cashback calculations, customer experience, and financial reporting. To change rules, use the duplicate-and-deactivate process:

    Open the campaign details and click **Duplicate**. This creates a new campaign with all the original settings copied across.

  <Step title="Edit the duplicate">
    Update the cashback rules in the new campaign: adjust percentages, fixed amounts, order value thresholds, or payment method preferences.
  </Step>

  <Step title="Deactivate the original">
    Toggle off the original campaign to prevent overlapping or conflicting cashback offers.
  </Step>

  <Step title="Publish the new campaign">
    Activate the updated duplicate so customers immediately benefit from the revised terms.
  </Step>

<Warning>
  Do not edit cashback rules on an active campaign directly. Always duplicate, update, and then deactivate the original to maintain consistent customer experience and accurate reporting.

## Updating the app listing

You can update listing details (images, title, description, category) without duplicating the campaign:

    Click **More details** on the campaign you want to update.

    Update header banner images, title, subtitle, description, and category as needed.
  </Step>

  <Step title="Submit for approval">
    Click **Submit**. The updated listing goes through the approval process and appears in the Hello Clever app within 1–3 business days.

## Deactivating a campaign

    Toggle the **Active** switch off on the campaign. Confirm the action in the dialog that appears.

    A campaign deactivates automatically when either its configured end time is reached or the total cashback budget is exhausted, whichever comes first.

## Campaign strategy tips

Use these strategies to get the most from your cashback campaigns.

    A continuous low-percentage cashback (e.g., 5% on all orders) builds long-term loyalty at minimal cost per transaction. Use it as a foundation and layer time-specific campaigns on top.

    Set up two campaigns: a higher cashback rate for PayID (e.g., 5%) and a lower rate for card (e.g., 3%). This nudges customers toward the lower-cost payment method, reducing your processing fees over time.

    Offer 5% cashback for orders over $75 and 12% for orders over $150. Customers are motivated to spend more per transaction to reach the next reward tier.

    Add a per-transaction or per-user cashback cap (e.g., max \$20 cashback per order on a 10% campaign). This keeps your total cashback spend predictable while still making the offer attractive.

    Schedule cashback during slow periods (lunch hours, weekday mornings, or weekends) to fill those gaps without running a full-time campaign.

    Offer higher cashback during holidays or seasonal events (e.g., 12% throughout December) to capitalize on naturally increased spending. Time-limited campaigns keep the commitment manageable.

  If you use Hello Clever real-time payments, cashback rewards are extracted directly from customer payments: you do not need to send funds in advance. This makes budget management simpler and more predictable.
